The following workflow describes how applications are received, reviewed, and processed — from initial submission through to project activation and ongoing monitoring.
The LILI Sub-Group coordinates all stages of the workflow, engaging Central Units (ITSC, Library, CLEAR, HRO) as needed during review and implementation support phases.
Applicant selects the appropriate track (Academic or PAS) and submits via the designated platform. A confirmation email is sent upon receipt. Applications are logged and assigned a reference ID.
The LILI Sub-Group conducts an initial eligibility and completeness check. Incomplete applications may be returned to the applicant with guidance for resubmission.
Reviewers may reach out to applicants for clarification, additional information, or to discuss refinements to the proposal — particularly for novel or large-scale initiatives.
Approved proposals receive license allocations and onboarding support from ITSC and the Library. Applicants are notified of outcomes and next steps.
Approved initiatives begin implementation from the agreed start date. Applicants are expected to monitor KPIs and provide periodic updates to the LILI Sub-Group using platform analytics.
First call opens. Guidance notes and application forms available via the submission platform.
Submission deadline for the first call. All proposals must be submitted by this date.
Review and notification. Applicants will be informed of outcomes within approximately one month of submission.
Project start date, aligned with the upcoming academic year. Approved initiatives begin implementation.
Applications remain open after the first deadline. Subsequent reviews typically occur within ~1 month of submission, subject to volume.
Submit your completed application via the designated University platform. The submission link will be shared upon opening of the call on 1 July.

All submitted proposals will be assessed against the following framework. Reviewers will give highest priority to learner impact and strategic alignment, followed by feasibility and innovative design.
